Driver Lifecycle & Asset Management System

The problem

The client needed to replace fragmented Google Sheets with a centralized system to manage drivers, vehicles, and compliance across multiple logistics operations in the UAE. The goal was to build a structured platform that tracks driver profiles, document expiries (e.g., visas, licenses), assigns assets like bikes and SIM cards, and automates workflows such as fine allocation and financial deductions. The system also needed to support internal team operations while being scalable and easy to maintain.

What we built

This project focused on designing and implementing a robust driver and asset management system tailored for logistics operations across multiple emirates in the UAE. The existing workflow relied heavily on disconnected spreadsheets, which led to inefficiencies, errors, and lack of visibility.

The solution involved building a structured Airtable database to manage driver profiles, visa and document expiry tracking with automated reminders, and a comprehensive asset register for bikes and SIM cards. Advanced logic was implemented using Airtable scripting to dynamically assign fines to drivers based on historical asset allocation at specific timestamps.

To address operational complexity, the system also incorporated financial tracking for deductions and ensured data consistency across multiple workflows. Due to Airtable’s limitations in granular role-based permissions, Softr was layered on top to create a controlled interface for different internal teams such as operations, finance, and PRO roles.

The final system significantly improved operational efficiency, reduced manual errors, and provided a scalable foundation for managing logistics operations with better visibility and control.
