The problem

The existing platform suffered from a broken onboarding flow, no visibility into failed payments, missing automations, and no centralized data tracking.

Administrators had no real-time view of users, matches, or lead status, and new users frequently failed to activate after paying.

What we built

We restructured the platform end-to-end into a reliable, data-driven marketplace for connecting aspiring pilots with instructors and flight schools.

Student pilots and instructor / flight-school providers operate on the same platform, with an admin layer for oversight.

• Rebuilt onboarding and account-activation flow with Stripe ↔ Airtable payment integration and failure visibility.
• Robust automations for activation and transaction syncing so paid users reliably gain access.
• Advanced admin dashboard with real-time metrics on users, matches, and lead status.
• Automated daily email reporting for operators.
• Geo-based filtering, distance sliders, and distance-based instructor↔student matching.
• Fully customizable, shareable public instructor profile pages designed as marketing assets to drive conversions.

How we built it

Softr fronted an Airtable backend, with Stripe synced into Airtable to keep payment and access state consistent. Activation automations closed the gap between payment and access.

CustomJS delivered the geo-filtering, distance logic, and the customizable provider profile pages, while webhook-driven and scheduled automations produced the daily reporting and kept the admin dashboard live.
