The Best Notary – Portal for Notary & Employee Management

The problem

This project centered on building an end-to-end operations platform for The Best Notary (TBN), integrating appointment management, notary/employee portals, automated workflows, and multi-system data syncing. The team required advanced conditional form logic, custom portals in Softr, Airtable data modeling, ClickUp automation, and Make.com workflows to unify all operational processes. The deliverable included structured portals for notaries, employees, and clients, secure data visibility rules, new Airtable tables, improved appointment flows, JotForm setup, and a coordinated product roadmap.

What we built

This project involved building a robust **Softr-based platform** for "The Best Notary" to manage notaries, employees, and clients. I worked closely with CEO Elijah Engote and Product Manager Peter Gruskin to implement:

- **Custom role-based portals in Softr**: Created different access levels and dynamic pages for Notaries, Employees, and Clients. Each user group sees only their linked data, enriched with profile details and branding (e.g., logos).

- **Make.com Automations**: Integrated Make to auto-create records in Airtable based on JotForm submissions and ClickUp workflows.

- **JotForm Integration**: Designed forms with **advanced conditional logic** (especially for client TNB) to streamline complex data collection.

- **ClickUp Collaboration**: Used ClickUp for product roadmap tracking and role clarity between developers.

- **Airtable as Backend**: Structured linked records across clients, notaries, and employers for clean access and workflow logic in Softr.

- **Scalable Admin Controls**: Developed foundations to manage permissions, profile flows, form visibility, and user-specific dashboards.
