PSC Dx Field Operations & Lab Order Automation
Airtable and Softr laboratory operations platform featuring automated CSV order imports, normalized patient and insurance records, billing and eligibility workflows, and a mobile field-worker dashboard.
The problem
PSC Dx needed to improve its existing Airtable and Softr-based diagnostics lab operations. The project initially focused on automating CSV lab-order imports and improving the field-worker experience so mobile phlebotomists and medical couriers could access only their assigned jobs and update completion status from the field. The scope expanded to include a mobile-first field worker portal, role-based access, appointment workflows, per-specimen tracking, new-patient registration, insurance/document capture, proof of service, notifications, and broader Airtable data-model improvements for patients and insurance.
What we built
Rebuilt and expanded PSC Dx's Airtable-based laboratory operations system to improve data consistency, automation reliability, and field-team workflows. The project included restructuring patient data into a dedicated Patients table and separating insurance carriers from individual patient insurance policies, supporting primary, secondary, and tertiary coverage as well as historical policies. More than 23,000 existing lab orders were linked to patient records, while approximately 45 downstream connections across Claims, Eligibility, Mobile Collection, Billing Exceptions, and Critical Results Log were rebuilt to work with the new structure. Six key automations were rewritten, including order submission, eligibility grouping, result/rejection notifications, and critical-result communications.
A CSV importer was also implemented so Test Wise Reports could be uploaded directly into Airtable. The importer creates or matches patients, orders, and insurance policies automatically and provides an import summary for unmatched records. The field-worker side was developed in Softr as a mobile-first dashboard where authenticated phlebotomists, couriers, and vendors can see jobs assigned specifically to them. The broader field-worker requirements include schedule views, detailed appointment information, specimen tracking, collection status workflows, proof-of-service uploads, patient registration, insurance-card capture, and role-aware access. Additional work included restoring billing and eligibility interfaces after the data restructure, rebuilding Home Collection dashboards, restoring patient and insurance columns to claims interfaces, and planning a patient snapshot interface showing a patient's complete order history.
