Tenant Portal with Locked Stripe Payments & FIFO Balance Sheet Reporting
Built a secure tenant portal in Softr with Stripe payment processing, automated balance management, and on-demand FIFO-based balance sheet reporting.
The problem
A property management business needed a secure tenant portal that would eliminate accounting confusion caused by inconsistent tenant payment behavior. The solution introduced a controlled payment workflow where tenants could only pay their exact outstanding balance, while also providing a transparent FIFO-based balance sheet report capable of clearly demonstrating how payments were applied to charges. The platform was designed to improve bookkeeping accuracy, streamline rent collection, and provide documentation suitable for tenant disputes and legal proceedings.
What we built
Designed and implemented a cloud-based tenant management portal using Softr, Stripe, Make.com, and a custom Python FIFO ledger engine. The system enables authenticated tenants to securely access their account information, view balances from a defined launch date forward, and make payments through Stripe with locked, non-editable payment amounts. The platform supports multiple properties with routing to separate Stripe accounts based on tenant assignment. A custom balance sheet workflow generates detailed FIFO waterfall reports that allocate payments against charges in chronological order while maintaining parent-child payment allocation tracking. Reports are generated on demand, gated by tenant acknowledgement, and delivered in a clean, court-readable format. The solution also streamlined data management by leveraging Softr's native database and an optimized import process from Microsoft Access exports.
